Cantor Scheduler
Cantors sign up for Masses from a personal link: no accounts, no passwords. The director sees the whole
schedule, fills gaps, notes each week's music, and emails cantors from the same page.
It's free and runs entirely in your own Google account: the schedule lives in a Google Sheet
you own, and emails go out from your Gmail. Nobody else, including whoever made this, can see your Sheet.
Got here from a cantor link that didn't work? Ask your choir director for a new one.
Set it up for your parish
About 10 minutes, all in your web browser. Use a computer, not a phone.
- Sign in to Google with the account that should own the schedule. Emails to cantors come
from this account, so a parish or music-ministry account is a good choice.
- Make your copy.
Copy the template Sheet
Then click . Keep the copy's name or rename it; either is fine.
- Turn it on. In your copy, choose .
In the window that opens, click . Click the gear next to
"Select type" and choose . Set and
, then click .
- Approve it. Google asks you to authorize access. Click
and pick your account.
Expect a security warning. Google will say
"Google hasn't verified this app." That's normal for a script you run yourself. Click
, then , then
.
It asks to: see and edit this one Sheet; send email as you (the
sign-up emails); run on a timer (the optional digest); and see your email address (to fill in Settings). It
can't see your other files.
- Copy the Web app URL that Google shows when it's done (it ends in
/exec),
then click .
- Get your director link. Go back to your Sheet and reload it. A
menu appears (it can take a few seconds). Choose
, paste the URL from step 5, and open the link it gives you.
Bookmark it and keep it private: it's how you manage the schedule.
- Set up your parish. The director page opens on Settings: enter your parish's name, Mass
times, and time zone. Then add your cantors () and send them their
links ().
Getting updates
Your director page says when there's a new version. To update, in your Sheet choose
. On the left under , click
, pick the highest version, and click . Then
, click the pencil, set ,
and click . Your links stay the same. If Google asks you to approve it again, it's the
same as when you set it up (step 4).
